Etiquette to Handle Techies While at Work- Common Problems and Simple Solutions
The revolution, massive research work and heavy chunk of investment in the I.T industry has totally changed the tech world. Now, the lives of human being seems to be incomplete without the intervention of technology and life was never been such luxurious and comfortable ever before.
Undoubtedly the implementation of technology in the business world has made the business communication very much simple and easy, and the use of technologies like video conferencing, smart phones, messaging services etc are now ‘must have’ ingredients of business. But this wide use technology also requires some special care while using or in other words there should be some etiquettes to use technology. You might be thinking that what etiquettes have to do with technology? Well, using them with off-putting behaviors cam surely hurt your business badly.
Here are some techies with the care to be taken.
Instant Message: This service is the most commonly used one among the masses. What you will you do if you to enter in someone’s cabin, room or home?? Knocking the door?? Yeah, the obvious thing to do before you enters; knocking door is just like taking the permission to enter. Same is in the case of IM, before sending abrupt messages is like forcing the receiver to respond back. It’s very common but can have a big influence on the receiver, and who knows the receiver may not like this behavior of yours. SO, this practice should be avoided and before asking or telling anything (which requires a response from receiver) one should first ask the receiver that either he/she is free to have a conversation with you at the moment or there may some other suitable for both the parties to communicate. Try to keep your conversation simple and small, don’t write stories on IM, if you can’t help it out then either talk on phone or have a face to face communication.
Video Conferencing: One of the major tools in the business world to minimize the travelling expenses, it’s a fact that everything can’t be discussed on phone and it might not be suitable to have long conversations on phone. To rationalize this communication barrier, video conferencing has been adopted for the business communication either it’s between two different business stations or a meeting between company and client. This technology allows communication with multiple people via single device, its best share ideas and thoughts to a group of people. As you are on camera and your voice will be listened to the far end as well so it’s better to avoid any such acts and conversation which you want neither to appear on camera nor to be listened by anyone else.
Speakerphone: This era is of multi- tasking and doing other task while talking on phone is not a new thing now, but do you know that it also requires some extra care otherwise the person on the second end might get embarrassed.
First thing which is a must do thing is that never put someone on speaker without asking or informing the person(s). Always avoid talking on speaker phone if you’re in a public place, avoid making side conversations while on phone call, doing such thing may give the unpleasant feeling to the person on the other end. Avoid the sounds which can become communication barrier for example the sound of pulling the drawers, noise of staff etc.
Also, avoid sharing confidential information in public places and especially on the speaker mode because other might be listening to your conversation which you will surely not like.
These behaviors are very common and have become the part of the routine life but to deal with these things with little care can save you from getting into any problem and dilemma. And it is rightly said that “prevention is better than cure”
